Under general direction, the Governance Coordinator plans, organizes, and coordinates the operations of the UC San Diego Health Medical Center boards and committees. This single-incumbent position is responsible for providing administrative and procedural support and maintains the custody of the records. Is responsible for coordinating activities including agendas, agenda preparation, and documentation. The Governance Coordinator plans, organizes, and directs the provision of support necessary for official processing of business of the Medical Center boards and committees. In addition, this position will manage related projects. Serves as the administrative liaison to the Medical Center boards and committees by providing highly complex support including:
· Reads and interprets the governing bylaws and policies and procedures.
· Plans, organizes, directs, and manages activities in coordination with senior leaders, departments, and units in preparation of the agendas, facilitating processes, and maintaining documents and records.
· Takes official minutes of the meetings.
· Executes and/or communicates details of actions resulting from meetings.
· Acts as custodian of all documents and records pertinent to the Medical Center boards and committees.
· Draft policies and charters collaboratively with legal counsel that are pertinent in to the Medical Center boards and committees.
· Serves as a liaison with staff, faculty, leadership, community, and the general public.
Position involves analytical studies on a variety of policies, projects, programs and issues in support of a function, research initiative, program and/or organizational unit, or in research of new or changing systems and programs. Assists in policy and program planning, development, administration, management and implementation; interprets, monitors and analyzes information regarding policies and procedures and provides consultative services to department administrators and other stakeholders.
Uses advanced operational concepts and objectives to resolve highly complex issues. Regularly works on issues where analysis of situations or data requires an in-depth evaluation of variable factors. Exercises judgment in selecting methods, techniques and evaluation criteria for obtaining results. Primarily deals with programs and proposals with broad impact across the function, research initiative, program and/or organization. Develops and oversees the implementation of new programs and processes.
Bachelor's degree in business, healthcare administration or related area, and/or equivalent combination of experience and training.
Five or more years of relevant experience providing high-level support to an executive board or equivalent entity.
Advanced knowledge of common organizational and other computer application programs (MS Office, iShare, etc.)
Experience in project management.
Ability to supervise and direct staff.
Ability to develop, implement, and evaluate policies and procedures.
Ability to analyze and interpret laws affecting legal processing of documents and implement procedures and review work for accuracy and procedural conformance.
Ability to develop and maintain effective working relationships with leadership, faculty, staff, and the public;
Exceptional communication skills to communicate effectively both verbally and in writing; compose both oral and written presentations; summarize information succinctly and accurately.
Able to consistently demonstrate tact and diplomacy and maintain composure under pressure.
Eight or more years of relevant experience involving policy, processes and organizational governance within a public entity.
Experience in healthcare and/or academic medicine highly preferred. Other relevant settings include higher education or government/ public entity.
Advanced experience utilizing iShare application.
Must be able to work various hours and locations based on business needs.
