Summary for the Professional Development and CLE Assistant position
Under the general direction of the Professional Development (PD) and CLE Manager and according to established Firm policies and procedures, the Professional Development and Continuing Legal Education (CLE) Assistant provides administrative support to the Professional Development team for CLE administration and compliance and PD programs, events and initiatives. The Professional Development and CLE Assistant maintains professionalism and strict confidentiality in all client and Firm matters.
Essential Job Duties and Responsibilities include, but may not be limited to, the following. Other duties may be requested and/or assigned. Regular and predictable attendance is an essential function of the position. Administer CLE tracking, including but not limited to entering new programs into the database, entering and validating attendance, and data entry of third party certificates.
Collect course materials, agendas, and registration/attendance records necessary for CLE accreditation.
Submit CLE applications for state accreditation for all CLE programming – both internal and client-facing.
Distribute certificates of attendance to clients and firm lawyers.
Under the guidance of the Professional Development team, calculate CLE credits for various states and provides CLE disclaimer language for training invitations.
Under the direction of the Professional Development team, respond to all lawyer, staff, and client inquiries about CLE.
Assist with logistical aspects of professional development programming, including reserving conference rooms, requesting audio/visual support from IT, and ordering meals.
Perform special projects as requested and other responsibilities as needed, including general administrative and clerical support to the Professional Development team.
Knowledge, Skills and Abilities
Bachelor’s degree preferred and one or more years progressive Professional Development experience; or equivalent combination of education and experience. Prior experience in a large legal or professional services firm a plus.
Computer proficient with knowledge and understanding of various database systems and Microsoft Office Suite programs, especially Excel. Familiarity with VI Desktop LMS a plus. Ability to learn, utilize, and understand general premise of state CLE rules and practices preferred.
Exceptional interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information, and maintain effective relationships with a diverse group of lawyers, clients, staff, training vendors, professional training group members, and outside contacts.
Ability to prioritize and handle multiple deadlines utilizing excellent judgment, administrative abilities, and decision-making skills in managing practice groups and departmental priorities. Ability to balance individual lawyer needs with Firm interest.
Excellent organizational, planning and project management skills including record keeping, data collection, and system information. Ability to compile and analyze data and furnish concise, detailed information in report format, written correspondence, e mail, or verbally.
Exhibit high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment. Ability to work with frequent interruptions and adapt to changes in workflow.
Dependable team player with high energy, creativity, and vision who works collaboratively and cooperatively with others in a team-oriented environment. Ability to act independently within scope of the position’s responsibilities.
Possess excellent knowledge of reading, writing, grammar, spelling, punctuation, proofreading, and formatting in order to analyze and interpret source data, perform administrative functions, prepare relevant documentation, proofread material for grammatical, typographical, and spelling errors, and perform file maintenance.
Ability to perform mathematical calculations and apply mathematical concepts when computing, reconciling balances, and verifying numerical data on forms and documents.
Ability to operate standard office equipment including computer, laser printer, telephone, photocopier, calculator, scanner, facsimile, etc.
Ability to occasionally retrieve and distribute files, written documentation, or office supplies weighing up to 10 pounds.
