Advancement Database Manager and Services Coordinator
The Database Manager and Advancement Services Coordinator has specific responsibility for all database management, prospect research, and office support. As manager of the constituent database, this staff member works closely with the Advancement team, supporting each campaign and event, and manages the overall maintenance of all electronic records. In addition to the aforementioned responsibilities, this staff member assists the Director of Advancement in implementing all ongoing advancement plans and initiatives,
Maintain daily electronic records and accurate electronic and hard files for all CGPS constituencies
Process all gifts, pledges, stock transactions, matching gifts and personal information pertaining to fundraising programs, including all campaigns, events and special projects
Maintain and update all constituent records in a timely manner
Generate appeal and gift acknowledgment letters, pledge reminders, invoices and accompanying the correspondence
Generate weekly, monthly and quarterly reports for the Advancement Team
Work closely with the Business Office on monthly reconciliations and implementing best practices in accounting for the annual audit
Produce financial and statistical reports for the Board of Trustees Committees, Advancement and Business Offices
Support all members of the Advancement Team in the daily use of database and ensure adherence to legal and school best practices
Under the direction of the Assistant Director of Advancement, employ best practices in prospect research to identify individuals, corporations and foundations with capacity and inclination to make major gifts to CGPS
Work with the Assistant Director of Advancement to manage priority prospects and share findings in a coordinated effort to solicit prospects effectively and efficiently
UseInternet, subscription sources, and other media to compile prospect information in electronic and hard file formats
Assist with all mailings including but not limited to: handling letters, labels and postage
Maintain the Advancement Office calendar, files and other records
Assist with events as determined by the Director of Advancement
Contribute to Advancement Department meetings regarding strategy and implementation of ongoing fundraising initiatives.
Coordinate budget information for relevant Database and Advancement Services programs as part of the annual budget cycle
8:00 am - 4:00pm - Additional hours may be occasionally necessary.

Professional and Personal Qualifications and Requirements
