EDUCAUSE (http://www.educause.edu), a highly creative, entrepreneurial, national nonprofit association whose mission is to advance higher education through the use of information technology, is currently seeking a Vendor and IT Asset Manager. Reporting to the CIO, this is a full-time, exempt position with the option to work remotely or from the Louisville, CO office.
Position Summary: The Vendor and IT Asset Manager will establish a vendor management practice that ensures cost efficiencies, service excellence, and effective risk management across the association. This is a new position that reflects EDUCAUSE’s commitment to developing maturity in this domain. This position will work with IT and Business Services to establish strategic directions and practices for this area that align with the directions of the association as a whole.
Duties and Responsibilities:
Vendor Portfolio and Performance Management
Lead the development of a vendor management practice that manages vendor contracts and licenses, assists in vendor assessment and selection, performance relationships, and vendor risk management.
Classify and rationalize the vendor portfolio to ensure focus is applied to the most strategically important vendor relationships/engagements.
Manage and implement vendor management practices to mitigate associated risks as identified in the EDUCAUSE enterprise risk register.
Evaluate existing and requested service and product needs to identify redundancies and opportunities to reduce duplication of services and products.
Collaborate with internal stakeholders across the association to develop criteria and best practices for vendor selection.
Conduct research and lead searches for optimal vendor solutions and pricing, including but not limited to analyzing product and vendor evaluations and benchmarks.
Take the lead role in developing RFPs for IT hardware, software, and services. Manage the RFP process to ensure compliance with RFP requirements, and prepare spreadsheets and analysis of responses for review by IT management; serve as point of contact for vendors responding to RFPs.
Assist in ensuring vendors are compliant with emerging IT service management policies, processes and procedures, particularly those related to change management and the work of the EDUCAUSE change advisory board.
Work with Accounting to maintain policies that govern IT assets for the association and ensure those assets are appropriately inventoried and recorded.
Reporting and Budgeting
Manage the collection, consolidation and communication of data on vendor contracts, performance, risk and relationships to key stakeholders.
Manage the maintenance/enhancement of tools for use in vendor management, including vendor tracking, analytics and performance management (scorecards and dashboards.)
Build, manage, and continually enhance a comprehensive vendor database.
Work to ensure that appropriate service and support contracts are current and aligned with IT planning, budgeting, and association needs.
Assist the IT management team in planning for, preparing, and managing the IT budget, including developing projections for future budget needs based on contractual commitments and inflationary increases, as well as assisting with IT capital budget planning.
Association Service and Support
Represent EDUCAUSE in a professional manner at all times; engage with co-workers, volunteers, and members in a civil, caring, respectful way. Support the professional development of others in their work to advance the mission and vision of EDUCAUSE.
Act as a departmental liaison with employees, members, volunteers, volunteer groups, and clients.
As a front line user of EDUCAUSE systems and data services, comply with data quality standards; adhere to data governance policies, procedures, and processes for ensuring data integrity. May act as the application or data collection lead for the department.
At least two years’ experience working in an IT organization in an association, higher education, or other non-profit or for-profit business of 50 employees or greater desirable with knowledge of information technology applications, software, processes and equipment.
Bachelor’s degree OR equivalent combination of education and work experience.
Experience with and understanding of vendor contractual, commercial and operational working relationships.
ITIL Certification preferred
Experience with leading complex, mission critical, technical projects
Knowledge of IT service delivery best practices, and the IT service lifecycle
Knowledge of IT governance models, processes and best practices
Experience with IT Service Management, specifically ITIL-based processes, procedures and policies
Working knowledge of the full array of IT technical solutions including but not limited to hardware platforms, software solutions, productivity tools, cloud offerings, and outsourcing strategies such as SaaS, and IaaS
Experience with interacting with and working with a diverse group of internal IT and internal non-IT staff, and external colleagues
Strong communications and presentation skills, including the ability to write procedures, policies, and user documentation
Ability to understand and analyze IT projects, documents, financial models and projections; proficiency working with complex financial spreadsheets, developing RFPs, as well as gleaning key information from RFP responses and vendor documentation
