Position Description: Reporting to the Chief Student Experience Officer, the Registrar plays a pivotal leadership role in the daily oversight of the Office of the Registrar (comprising Academic Records and the Enrollment Center) in the UNEX Department of Student and Alumni Services. The Registrar serves as FERPA Officer, National Clearinghouse representative, and official custodian for UCLA Extension student records, which to date total more than 2 million. In addition, the Registrar is responsible for ensuring an exceptional service experience in the Registrar's Office, working closely with the Managers charged with managing performance metrics, quality, and productivity; and measuring staff performance against established business goals and guidelines.
The Registrar supervises 1 FTE Academic Records Manager (who supervises 2 FTE staff and 2 part-time student workers) and 1 FTE Enrollment Center Manager (who supervises 7 FTE staff and 3 part-time student workers), all of whom perform diverse functions in an environment using sophisticated payment and student systems with mandatory reporting and internal control requirements. The Registrar serves as Hiring Manager and is responsible for making hiring decisions and overseeing training, coaching, and performance evaluations done by managers.
The Registrar works in close collaboration with direct reports and the Cashier Office Manager to ensure appropriate enrollment and record controls and standards are in place and followed by all Registrar Office staff. Holds oversight responsibility for the following functional areas: Audits (compliance and training, grading, duplicate records, staff accuracy), Enrollment and Academic Record Integrity, Concurrent Enrollment, Credentialing, Compliance Reports, Discounts, Grading, Reports (including but not limited to National Clearinghouse and PACRAO), Special Petitions, Transcripts, , and regular FERPA Training for all UNEX staff.
In addition, the Registrar responds to subpoenas and other requests for student information; and ensures accuracy, integrity, and confidentiality in compliance with federal, state, and University governing policies and privacy laws. The Registrar works closely with the UCLA Extension Associate Dean for Academic Affairs, the Extension academic program directors, the Extension policy analyst, and (as needed) the UCLA University Registrar and other campus entities on various administrative and academic initiatives.
