I. Position Purpose Under the direct supervision of the Athletic Director, performs the following: assists with coordinating departmental initiatives, maintains the operation of the office: works with sensitive information, which will require a very high level of professionalism and confidentiality, including but not limited to, student records (FERPA). Independent judgment is required to plan, prioritize, and organize a highly diverse workload.
II. Duties and Responsibilities
Coordinate operations for all home and away athletic events for all sports: o Creating rosters for both teams o Updating announcements for all time-outs/halftime o Coordinating all workers for home events o Coordinating all halftime contests o Double checking on all facilities for game day
Scheduling of event staff positions for home game management for all sports
Coordination with the assignors of officials for all sports and payment of all officials for all sports
Coordination of communications with all opponents regarding contracts and details of events.
Organizing and creating filing systems for all coaching staff personnel, student-athlete information, reconciling payment information, receipts and recruiting information.
Contacting governing bodies of sports to make sure Hocking is maintaining standards set by said governing bodies.
Contacting and organizing all visits and communication to all high schools in the 10 surrounding counties of Ohio for recruiting purposes.
Coordinating all dining, hotel stays, and transportation to and from all away games and events for all athletes and athletic personnel.
Distributing phone calls and emails to the appropriate athletics staff members for timely responses.
Assist with a variety of initiatives and reports.
Monitor ongoing status of Athletic projects, program reviews, reports, student files and records, and advising rosters.
Prepare purchase orders, requisitions and authorizations for Athletics supplies and equipment.
Utilize appropriate resources (e.g. Microsoft Office, Access, Excel, Word, PowerPoint and Google Docs etc.) to develop reports, maintain records, draft and edit letters, memos and agendas.
Perform other tasks and projects as assigned.
Point person for office operations and procedures
Serves as the direct supervisor of customer representatives and student workers.
Organize and schedule meetings and appointments.
Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office.
III. Qualifications - Education, Experience, and Skills
Bachelor's Degree required. Master's Degree preferred. Three years' experience in management, communications, sports administration or related field. Experience in sports or athletic administration preferred.
Critical to the position is enthusiasm, dependability, and responsiveness. Excellent attention to detail, initiative, and follow-through in order to achieve goals.
The ability to anticipate needs and proactively address them, to learn quickly, and to reliably complete work in a timely matter to high standards in a fast-paced environment.
Ability to continuously prioritize work, set and achieve effective goals, and meet deadlines.
Ability to handle high volume workloads and juggle priorities and deadlines
Willingness to seek out guidance of information needed to perform duties.
Strong computer skills-MS Office including Word, Excel, PowerPoint, Google Docs, and willingness to learn new computer skills as needed.
Demonstrate excellent communication, interpersonal and public relation skills.
Maintain a neat, well organized work space which projects a high level of professionalism for interactions with all students and visitors to the athletics office.
Excellent organizational, prioritization and problem-solving skills, along with the ability to take initiative and make decisions.
Ability to work independently and within a team environment.
Demonstrated capacity to perform complex administrative duties.
