The Financial Associate reports to the Senior Finance Administrator and is a member of the HiTS Administrative team. The Admin team's mission is to provide the HiTS community with exceptional pre- and post-award research administration services while ensuring compliance with all applicable federal, sponsor, and University guidelines.
HiTS brings together researchers from across the Harvard schools, the affiliated hospitals, and other regional institutions. This is done, in part, through complex program awards with many part of accounts across the University, billing agreements with hospital affiliates, and subcontractors. This role supports the processing of expenses across our research community and manages the submission and monitoring of fellowships.
Specific responsibilities include:
Processes all financial transactions for journal entries, accounts payable, purchasing card, reimbursements and review of travel and Corporate Card charges in a timely, efficient and transparent manner in compliance with the rules that govern the expenditure of grant, school, and gift funds.
Reporting and Monitoring Activities: Ensures all service center expenses are properly allocated to HiTS funds. Manages open commitments reports for POs, non- employee reimbursements, Concur payments, etc. Participates in monthly reconciliation processes.
Problem- solves complex reimbursements for non- employees and resolves numerous vendor management issues with Central Accounts Payable.
Supports grant and fellowship applications. Monitors awards, and completes monthly projections, and communicates the status of grants, gifts, and fellowships to principal investigators.
All financial staff have a responsibility to read, interpret and act on University policies and HiTS guidelines. Ensures appropriate business purpose descriptions, correct Chart of Accounts use, proper approval/authorization, compliance with Uniform Guidance and other financial accounting requirements, and ensures appropriate documentation to support transactions.

Technical/Hard Skills: Experience with Excel and financial management applications is highly preferred. Familiarity with

Candidate must demonstrate proficiency with Excel, the ability to navigate enterprise Oracle applications, and adaptability with new web-based tools.
