The purpose of this Nashville based position is to coordinate and facilitate the Certified County Finance Officers (CCFO) training and certification program for financial management personnel working for the County Finance, Accounting & Budget offices and other County departments including County Boards of Education, Elected Officials, Highway Superintendent's and the County Mayor's Offices. The annual CCFO Program is comprised of 11 one-day classes and at least 2 days of continuing education classes that are delivered statewide in five different locations (Knoxville, Cookeville, Franklin, Jackson and Memphis). Main responsibilities include the registration of participants and related monthly course billings, accounts receivable, processing of payments, collections and the entering of attendance and grades in the training software. Other main duties include the maintenance of the email database and the distribution of the monthly program materials and quarterly e-newsletter to current program participants and past graduates. This position will also coordinate certain logistical items such as reserving the training facilities, meals for participants and other duties as requested by the CCFO program manager and training staff.
Duties and Responsibilities: Under the direction of the CCFO Program Manager II and the Training Consultants, this position performs a full range of training coordinator duties and assignments. This position recognizes that the CCFO program offers a way to develop and enhance the financial management skills of County finance and related personnel that should improve their quality of work, efficiency, morale and learn to work in conjunction with other County departments to improve the overall management of County governments throughout the State of Tennessee. This position will require a strong attention to detail in the processing of participants class registration, billing and collection processes. In addition, this position will be responsible for the maintenance of the Kate learning software by entering the course attendance for each participant by location and the related individual course test scores. Other critical duties include the maintenance of the Emma email database for the distribution of the monthly course materials and the quarterly e-newsletter for current program participants and past CCFO graduates.
This position is also responsible for the reserving of off-site training facilities and negotiate and review proposed quotes and contracts with UT vendor approved hotels, restaurants and catering vendors for meeting facilities and the delivery of lunch meals for program participants. Prepare summary of instructions for participants in the registration, payment and receiving of course completion certificates. Prepare announcements and the delivery of course materials for continuing education (CE) for past CCFO program graduates. As requested by the CCFO Program Manager and Training Staff, this position may be required to travel to attend off-site selected program classes, or continuing education classes, in an administrative support role to help with the entering of attendance and grades into the Kate learning software and coordinate the delivery and setup of beverages, snacks and lunches for the program participants. This position will help compile course evaluation feedback information from course participants for evaluation by the Program Manager. Also develop and manage any special marketing efforts for special projects as assigned. This position may occasionally require an overnight hotel stay for up to three business days. The number of expected annual CCFO program participants is approximately 200 statewide.
Other duties as assigned by management and assist in various special projects within the CTAS on other statewide training programs. Also, this position may require some occasional travel as a CTAS representative at different state-wide conferences, meetings and other training programs as needed. This position may also serve as a back-up support personnel for other administrative and support duties involving other training or continuing education programs provided by CTAS that are similar to the primary job responsibilities as described above.
